This tutorial will guide you through enabling and effectively using the Areas Calculator to break down complex job measurements into manageable parts, leading to more accurate and detailed estimates. This feature is particularly useful when you need to sum up several smaller areas to get a total quantity for a service, ensuring precision in your project costing.

Step-by-Step Guide

Enabling the Areas Calculator

To begin using the Areas Calculator, you first need to activate it in your admin settings:

  1. Navigate to Admin Settings. This is typically accessed via a gear icon or your profile in the main navigation bar.

  2. Within Admin Settings, select the Estimates tab.

  3. Look for the Area Calculator section.

  4. Toggle the switch next to Enable Areas calculator on estimates to the "on" position (it should turn blue). A confirmation message, "Successfully saved estimate settings," will briefly appear.

With this setting enabled, the calculator icon will now be available on your estimates.

Accessing and Using the Calculator in an Estimate

Once enabled, you can use the Areas Calculator directly within any estimate:

  1. Open an existing project or create a new one.

  2. Go to the Estimates tab for that project.

  3. Either create a New estimate or open an existing one.

  4. Add a new service (e.g., "Asphalt - Full Depth Repair") or select an existing service line item. You will see a small calculator icon next to the Measurement input field.

  5. Click the calculator icon. The Manage areas dialog box will open.

  6. Click the New Area button to add an area. You can add multiple areas as needed.

    • Pro tip: Give each area a descriptive Name (e.g., "Driveway Section 1," "Parking Bay A"). This helps organize your estimate and can correspond to markings on a site plan or takeoff.

  7. For each area, choose how to input its size. The unit (e.g., ft for length, sf for area) will correspond to the service's primary measurement unit:

    • Input Length and Width: Keep the toggle switch (which indicates the input mode) to the left (off/gray, typically showing LxW as the mode). Enter values in the Length and Width fields. The system automatically calculates the Measurement for this section.

    • Input Direct Area: Click the toggle switch to move it to the right (on/blue). The mode will indicate Area, and the Length and Width fields will deactivate. Enter the total Measurement for this specific area directly into the now active Measurement field (e.g., 200 sf).

  8. As you add and define areas, the Total: [X] sq ft (or other relevant unit) at the bottom of the dialog will update automatically, summing all your entered areas.

  9. Once all areas are defined, click Done. The total calculated measurement will populate the main Measurement field for the service on your estimate.

Insight: The Areas Calculator provides a clear, itemized breakdown of how a total measurement is achieved. This not only boosts estimation accuracy but also offers transparency for your team, as these area details can be carried over to Work Orders.

Troubleshooting

Here are some common points to check if you encounter issues:

  • Measurement field is locked/uneditable: If you have defined one or more areas using the calculator, the main Measurement field for that service line item becomes read-only. To edit it directly, you must first open the Manage areas dialog (by clicking the calculator icon) and delete all existing areas using the trash can icon next to each one. After deleting all areas and clicking Done, the main Measurement field will become editable again.

  • Incorrect Units in Calculator: The units for Length, Width, and Measurement (e.g., ft, sf, sy) within the Areas Calculator are derived from the primary measurement unit set for the service itself. If you see incorrect units, first verify and correct the measurement unit defined for the service in your estimate or service catalog.

  • Areas not appearing on Work Orders: For the detailed area breakdown to appear on a Work Order, ensure that the estimate containing the service (with its calculated areas) is the one used to generate that Work Order. The defined areas, their names, and individual measurements will then be visible, providing clarity for your crew.
