Adding Countersignatures to Proposals

Overview

This tutorial will guide you through setting up and using countersignatures within your proposals. Countersignatures allow your team (such as salespeople, project managers, or designated users) to sign proposals alongside customers, ensuring a more complete and enforceable agreement. This feature is especially useful for businesses that require internal approval or validation before finalizing contracts.


Step-by-Step Guide

Follow these steps to enable and use countersignatures in your proposals:

Navigate to Proposal Settings:

  1. From the main dashboard, open the settings menu.

  2. Use the navigation (such as the quick nav menu) to go to Proposal Settings.

  3. Scroll down until you find the Countersignature section.


Configure Countersignature Settings:

In the Countersignature section, configure the following options:

  1. Enable countersignatures for proposals and/or change orders.

  2. Optionally require admin invitation for counter signers.

Choose a countersignature behavior type:

  • Manual: Users can manually countersign proposals when needed.

  • Pre-signed: Proposals are automatically sent with a predefined user’s signature (e.g., salesperson or project manager).

  • Automatic: Proposals are sent unsigned but will automatically be countersigned after the customer signs.

Select who will countersign (specific user, salesperson, or project manager).

Click Save to apply your settings.


Invite and Set Up Counter signers:

  • Scroll down within the countersignature settings to manage users.

  • Invite users to be eligible counter signers.

Each user must set up their signature before they can countersign proposals.


Set Up Your Signature:

  1. Go to your Profile Settings.

  2. Scroll to the countersignature section.

  3. Create and save your signature.

Alternatively, if you attempt to countersign a proposal without a signature, the system will prompt you to create one.


Apply Countersignatures to Proposals:

Open a project from the Projects section.

  • Navigate to the Proposal tab.

  • Open the proposal you want to countersign.

  • If using manual mode, click the option to countersign the proposal.

  • If using pre-signed or automatic mode, the system will apply signatures based on your desired setting.

Confirm your signature when prompted.


Save and Verify:

Once completed, your countersignature will appear on the proposal.

If pre-signed, it will already be visible before sending.

If set up as automatic, it will appear after the customer signs.

The proposal will then reflect both customer and internal signatures.

Countersignatures can be applied in multiple ways depending on your workflow:

  1. Pre-signed proposals ensure internal approval is visible before the customer signs.

  2. Automatic countersignatures streamline the process by signing immediately after customer approval.

Additionally, even if countersignatures are enabled after proposals have already been sent, you can still manually countersign those existing proposals.


Troubleshooting

Countersignature not appearing:

Ensure countersignatures are enabled in Proposal Settings.

Confirm the correct behavior type (manual, pre-signed, or automatic) is selected.

Verify the assigned user has been invited as a countersigner.


User unable to countersign:

Ensure the user has completed their signature setup in Profile Settings.

If not, the system should prompt them to create one during the signing process.


Automatic countersignature did not apply:

Check that the assigned user (e.g., salesperson) has a signature set up before the proposal was sent.

If not, the proposal can still be manually countersigned afterward.
