How to remove or manage a user’s access to OneCrew

When an employee leaves your company or changes responsibilities, you may need to remove their access to OneCrew or adjust what they can do in your account. This article explains how admins can disable a user, how roles affect access, and what OneCrew can help review if you have concerns about activity or data access.

Who can remove or change user access?

Only admins can manage user roles and disable users in OneCrew. If you do not see the user management options described below, you may not have the required admin permissions. In that case, ask an admin at your company to make the change or contact OneCrew Support at support@getonecrew.com.

Disable a user in OneCrew

There is no separate delete-user action in OneCrew. To remove a person’s access, an admin disables the user. Disabling a user prevents them from logging in and removes them from crews, while preserving historical records connected to their past activity.

To disable a user:

  1. Go to Settings.

  2. Open Users.

  3. Find the user you want to disable.

  4. Open the user’s Role dropdown.

  5. Select Disabled.

  6. Confirm the change when prompted.

If disabling the user is not working, or if you are unsure whether the correct access was removed, contact OneCrew Support at support@getonecrew.com. Please include the user’s name and email address, your company name, and what you are trying to prevent or review.

Note: Disabling a user does not change licensing costs. Licenses are set for the full contract term, so removing a user’s access does not automatically reduce the number of licenses on your contract.

Access is controlled by roles

In OneCrew, access is tied to a user’s role. A user’s role determines what they can view, change, export, or manage. Not every user can perform every action.

If your concern is that an employee has too much access, review their role and make sure it matches what they need to do.

Reviewing logs and activity

Project logs may show some activity related to projects and changes inside OneCrew. However, customers do not have direct access to deeper internal logs or every type of activity record.

Include the user’s name and email address, the approximate date range, the projects or records involved, and what you are concerned may have happened. We can review what may be available on our end and let you know whether there is relevant information we can provide.

Exporting company data

If your concern is that a former employee may have taken company data, first review that user’s role and permissions. Data export access is controlled by permissions, so export capabilities should only be available when they are appropriate for the user’s role.
