Creating a New Project in OneCrew

Overview

This tutorial will guide you through the process of creating a new project within the OneCrew platform. Efficient project setup is crucial for organizing your work, tracking progress, and collaborating effectively. By following these steps, you'll be able to quickly initiate new projects and ensure all essential information is captured from the start.

Step-by-Step Guide

There are two primary ways to begin creating a new project:

Method 1: Universal Plus Button

  1. Locate the plus icon (+) in the top header bar. This bar is visible on every screen within OneCrew.

  2. Click the plus icon (+). A dropdown menu will appear.

  3. Select New project from the menu.

Method 2: From the Projects List

  1. Navigate to your Projects list by clicking Projects in the left-hand navigation menu.

  2. On the All Projects page (or any filtered project list), find and click the New Project button located in the upper right corner of the page.

Once you've initiated the new project creation, you will be presented with the New project form. Follow these steps to complete it:

  1. Select Contact, Account, and Site:

    • Contact: Click into the Select contact field and choose an existing contact from the dropdown list. If the contact doesn't exist, you can click the + New button next to the field to add them.

    • Account: After selecting a contact, the Account field may auto-fill with the account associated with that contact. If not, or if you need to change it, click into the Select account field and choose an existing account or create a new one using the + New button.

    • Site: Click into the Select site field and choose the project's location. Similar to contacts and accounts, you can add a new site by clicking the + New button.

  2. Enter Project Name (Optional):

    • You can type a custom name for your project in the Project name field.

    Insight: If you leave the Project name field blank, it will automatically default to the street address of the selected Site. This can be a handy time-saver for projects directly tied to a physical location.

  3. Project ID: This may be auto-generated (e.g., ZS-####) or you can toggle Custom ID to enter your own.

  4. Assign Sales User:

    1. Click the Select user dropdown under Sales* and choose the team member responsible for this project. This field is mandatory.

  5. Add Project Manager: (Optional):

    1. Select the user responsible for managing the project.

  6. Add Other Assignees: (Optional):

    1. Select users who may need updates on this project.

  7. Enter Bid Due: (Optional)

    1. Enter the deadline for any bids, if applicable.

  8. Add Notes (Optional):

    • Use the Notes field to add any relevant details, descriptions, or initial instructions for the project (e.g., "Parking lot sealcoat").

  9. Add Tags (Optional):

    • Click the Select tag dropdown to choose from existing tags or type to add new ones. Tags help categorize and filter projects (e.g., "Sealcoat," "Commercial"). You can add multiple tags.

  10. Add Checklists: (Optional):

    1. Select any predefined checklists to attach to the project.

  11. Add Lead Source: (Optional):

    1. Toggle to select a Lead source

  12. Create the Project:

    • Once all necessary fields are filled, click the Create button at the top right of the form.

    • You will be redirected to the newly created project's detail page, ready for you to start adding estimates, documents, and more.

Troubleshooting

  • Missing Required Fields: If the Create button is unresponsive or you receive an error, ensure all mandatory fields (marked with an asterisk *, such as Contact, Account, Site, and Assign to) are filled.

  • Cannot Find Contact/Account/Site: If you're unable to find an existing contact, account, or site, use the + New button next to the respective field to add it directly from the project creation form.

  • Project Name Defaults Incorrectly: If the project name defaults to an address you didn't intend, ensure the correct Site was selected. You can always edit the project name later.
